I've learned that some people have had problems downloading documents from the Knowledge Base.  When you click on a link to a document, the Knowledge Base will actually open up a preview of the document for you to view.  To download the document to edit/print it, you need to click the download arrow located in the top right of the preview screen:

If using Internet Explorer, a notice will appear at the bottom of the screen, and you will need to confirm the download.  You can click "Open" to have the file open up in the proper program, or you can click "Save" if you want to save the file to your computer.

After opening certain downloaded documents (most likely MS Word and MS Excel documents), you may see a warning at the top of the screen.  You will need to click the "Enable Editing" button to use the document:

I've updated the Navigating the Knowledge Base section to clarify how to download documents.

The 2017-2018 VA On-Boarding process will begin earlier this year.

First we will begin collecting TQCVLs, Application Packets and Certificates for Returning Residents and fellows.  Returning Residents and fellows are residents and fellows that previously rotated at the Southern Louisiana Veterans Health Care System (SLVHCS) while in the same training program.

We are aware that at this time you may not know which residents/fellows will rotate to the VA during 2017-2018 because schedules are not completed for that academic year.  Therefore, all VA returning resident/fellow house officer levels that do rotate to the VA must be included on the spreadsheet with all required fields completed.  Also, the house officer level to enter on the spreadsheet is the House Officer level the resident/fellow will be on July 1, 2017;  i.e. if all resident/fellow levels rotate to the VA, list all residents/fellows that continue training beginning July 1, on the spreadsheet; if only HO 2s and HO 3s rotate, list all July 1 HO 3s in the program on the spreadsheet,  the July 1 HO 2s will be New residents and should not be listed because they did not rotate to the VA as a HO 1, and that paperwork is due at a later date.

If you are not sure if your resident/fellow is a "VA Returning Rotation" Resident/fellow, contact us.

 

We need the following by December 16, 2016 for all VA Rotation Returning Residents and fellows: 

 

Required from Coordinator/Program Director:

  1. Completed and signed TQCVL

     2. Completed Spreadsheet attached to TQCVL listing ALL Returning Residents that may rotate to the VA (rotated to the VA

              previously in same training program)

    3. Copy of Resident/fellow’s PIV card

 

Required from Resident/Fellow

  1.  Application – fillable form – Completed and signed

     2.  Application Packet – Completed and signed

    3.  Refresher VA Training Certificate – Attached to the Application Packet


 Send all of the above listed items to the LSU GME Office by December 16, 2017


If the Returning Resident/Fellow’s PIV card expires July 2017 – September 2017, he/she will have to contact the VA Fingerprinting Email, vhanolgmefingerprinting@va.gov  at least 60 days prior to the PIV expiration date to set up an appointment.  The PIV card must not expire or the complete on-boarding process will have to be repeated.

NOTE:  The TQCVL and Attached Spreadsheet will have to be updated to include only the returning residents and fellows that are on the Academic year schedule to definitely rotate to the VA once the 2017-2018 rotation schedule is completed, and then re-submitted to the LSU GME Office.

To All:

If your residents/fellows will rotate to the VA during 2017-2018, update the specific Rotation information for the VA site in the database we have set up using the link below.

The deadline to update the database is Thursday, December 8, 2016.

This was requested at the last Coordinators workshop to help us determine which programs and which House Officer levels rotate to the VA, so that we can begin collecting VA On-Boarding paperwork for Returning residents/fellows by the December 16, 2016 deadline.

Information regarding the On-Boarding paperwork required by the deadline is in the Knowledge Base:  VA Medical Center Onboarding Resources

  1. Login
  2. Select your program(s), find the VA rotation site and in the “Select Rotation Status” box  select the option that applies:
    1. All Residents
    2. Only Residents of Specific Levels Rotation – if this option is selected, select the levels that rotate, and if needed, more information can be entered in the “Notes” box
    3. Only Residents listed rotate – if this option is selected, enter the information in the box that pops-up “Enter Details about Rotating Residents”, and if needed, more information can be entered in the “Notes” box
    4. Other– if this option is selected, enter the information in the box that pops-up “Enter Details", and if needed, more information can be entered in the “Notes” box
    5. No Residents Rotate
  3. Save the information

All other rotation site information can also be updated at this time.
